10 tips for improving your remote conversations
10 tips for improving your remote conversations10 tips for improving your remote conversationsDue to an increase in employees working in off-site locations, one of the biggest challenges for leaders in recent years is managing unterstellung remote employees. Because managers are elend working with these people in a face-to-face environment, they are forced to communicate by text, email, phone, internet, or teleconference. The most challenging types of communication occur without being able to either see the part speaking (e.g. phone) or hearing their voice (email, text). In the absence of these additional communication cues, its easy to misinterpret to frustrating interactions and even negative results. Here are 10 tips that can help you be mora effective in your communication with others, especially when youre not able to interact in part.Follow Ladders on FlipboardFollow Ladders magazines on Flipboard covering Happiness, Productivity, Job Satisfaction, Neuroscience, and more1. Prepa re beforehand.Taking a minute to deliberately think about and identify your intention and purpose for holding the conversation will help you focus on the desired outcome. You might also reflect upon what you know about the person, the impact of the topic upon the individual to whom you will be speaking, what you want to gain from the interaction and how your past relationship may influence the desired outcome.2. Establish an agenda. You might prepare an agenda as parte of the preparation process. Or, when speaking with an individual, ask them what they would like to accomplish. Once they have had an opportunity to share, then describe your goal for the conversation. Although you have a distinct purpose in mind, expect that when you ask the person what they would like to address, they may not know. If this occurs frequently, it would be helpful to ask the person to identify what they would like to discuss or accomplish before the conversation actually takes place. Outlining your inte ntion in advance establishes mutual understanding and purpose prior to the interaction.3. Agree upon a time limitation. Often the amount of time spent in meetings can be overwhelming as well as distracting. Establishing a specific length for a meeting with a hard stop time should increase preparation and contribution. If the time expires and the meeting has not achieved its purpose, then everyone must agree to continue or another meeting needs to be scheduled when everyone can be in attendance. Identifying and sticking to an agreed-upon completion time will increase your credibility as a leader and show that you value others time.4. Give your full attention. Its just as important to schedule uninterrupted time for remote conversations as it is for in-person meetings. If you let other outside calls, interruptions by people in the office, or incoming emails distract you during your interaction, the person on the other end will be able to tell that you are not giving them your full att ention. Eliminate any potential distractions, maintain focus and be fully present during your scheduled meeting time. Your care and attention to the other person will increase their respect and trust for you.5. Identify virtual cues. I have heard it said that in spite of our efforts to suppress our thoughts and feelings, we are outed by our body. Meaning, what we are thinking and feeling is often displayed in the body language that we portray. If you have the opportunity to interact with someone where you cant see or hear them, these behaviors can give you an idea of what they are truly thinking or feelingSilence/long pauses. People often engage in this kind of behavior because they are not engaged. Their attention is usually elsewhere. Or sometimes they may not speak up if they arent sure what to say, are trying to formulate a response and need time to think it through. Or, perhaps they may be worried about how their response may be received. At other time, the absence of participa tion may signal disagreement with a topic you are discussing. Notice these behaviors and then invite people to participate if they are not already active.Sighs. Sighing can be viewed as the expression of a negative emotion when one is feeling frustrated, anxious, stressed, afraid, tired or sad. When a person begins to sigh in conversation, you may consider asking questions to identify what the sigh is signaling.Hesitation. This behavior may be indicative that the person is uncomfortable with where they are, and they are being asked to do something that they dont agree with or that they dont want to do. Again, you will want to ask a question to understand the meaning behind the hesitation.Word choice.Noticing the words or phrases that people use is a strong indication of what is going on with them. For example, if someone were to say, I hate this you might ask whats to hate or what does this refer to? You must first recognize the words people are using and then ask them for the meani ng those words represent for them.Energy or negative emotion. Tone often defines the emotion that accompanies or is manifested in the way that words are spoken. Consequently, word intonation is usually more revealing of a message than the use of words themselves. When tone is misaligned with the verbal message, you know you have some work to do to discover the meaning behind the message. Its important to note that negative emotion represents a violated value. When such negativity is expressed, you must seek to clarify the meaning behind the emotion.Tempo. The pace or speed with which a message is delivered is considered the tempo. The tempo may increase as a person becomes more nervous or anxious about how their message will be received. It is as though the person wants to finish the message as quickly as they can in order to move on to other activities.Being able to recognize these vocal and verbal cues, and then trying to explore what they mean will help create understanding and c larity in your conversations.6. Clarify meaning of virtual cues. Once you have identified the virtual cues we discussed previously, dont hesitate to ask what those cues mean to the individual. For example, if someone hesitates to agree with something that you are proposing, you could simply say, I noticed you hesitated does that mean you dont agree or have misgivings? Please share your thoughts with me.7. Ask more than you tell.Because you are not face to face, its important to ask questions and listen to the responses to make sure that you are not misunderstanding what is being communicated. Ensure that you have adequate time built into your schedule to allow time to ask clarifying questions. Take the time to identify what the remote person may want to know. Then ask them what they would like or need that might help them to perform effectively.8. Invite confirmation or disconfirmation. When you are not the one performing a remote task, the person working off-site may know more than you do about what is or is not working. When offering solutions or making decisions that may affect how these remote employees are doing their jobs, invite their feedback on your decisions or proposals. To ignore this opportunity may frustrate your results. Taking the opportunity to solicit opinions and thoughts on a course of direction will increase commitment, involvement and efficiency.9. Surface evidence. Sometimes when people disagree, the negative emotions of the conflict override the content of an issue. When a disagreement arises, take the time to surface and explore the evidence or data that individuals are using to formulate their differing opinions. This allows the decision-makers to access the information that should be used to formulate an effective solution. Looking for evidence that supports a problem-solving conversation tends to take the negative emotions out of the conversation while allowing you to focus on the issues at hand.10. Summarize. Whether you are making decisions or just clarifying what was discussed or agreed upon, making a deliberate attempt to summarize and check your understanding will assure that all parties are on the same page and have reached a clear, mutual understanding.Communicating with remote employees can definitely be a challenge. Part of the challenge arises from the infrequency of conversations overall. Not being with them in person is another issue that can cause misunderstandings. Being more deliberate and precise in the way that you converse with others will help avoid frustration and misinformation. Taking the time to implement these tips will not only improve the quality of your conversations, but the quality of your results as well. This article originally appeared on SmartBrief.

Why smart people dont multitask
Why smart people dont multitaskWhy smart people dont multitaskYou may have heard that multitasking is bad for you, but new studies show that it kills your performance and may even damage your brain.Every time you multitask you arent just harming your performance in the moment you may very well be damaging an area of your brain thats critical to your future success at work.Research conducted at Stanford University found that multitasking is less productive than doing a single thing at a time. The researchers found that people who are regularly bombarded with several streams of electronic information cannot pay attention, recall information, or switch from one job to another as well as those who complete one task at a time.A special skill? But what if some people have a special gift for multitasking? The Stanford researchers compared groups of people based on their tendency to multitask and their belief that it helps their performance. They found that heavy multitaskers- those who multit ask a lot and feel that it boosts their performance- were actually worse at multitasking than those who like to do a single thing at a time. The frequent multitaskers performed worse because they had more trouble organizing their thoughts and filtering out irrelevant information, and they were slower at switching from one task to another.Ouch.Multitasking reduces your efficiency and performance because your brain can only focus on one thing at a time. When you try to do two things at once, your brain lacks the capacity to perform both tasks successfully.Multitasking lowers IQResearch also shows that, in addition to slowing you down, multitasking lowers your IQ. A study at the University of London found that participants who multitasked during cognitive tasks experienced IQ score declines that were similar to what theyd expect if they had smoked marijuana or stayed up all night. IQ drops of 15 points for multitasking men lowered their scores to the average range of an 8-year-old child .So the next time youre writing your boss an email during a meeting, remember that your cognitive capacity is being diminished to the point that you might as well let an 8-year-old write it for you.Brain damage from multitasking? It was long believed that cognitive impairment from multitasking was temporary, but new research suggests otherwise. Researchers at the University of Sussex in the UK compared the amount of time people spend on multiple devices (such as texting while watching TV) to MRI scans of their brains. They found that high multitaskers had less brain density in the anterior cingulate cortex, a region responsible for empathy as well as cognitive and emotional control. While more research is needed to determine if multitasking is physically damaging the brain (versus existing brain damage that predisposes people to multitask), its clear that multitasking has negative effects.Neuroscientist Kep Kee Loh, the studys lead author, explained the implicationsI feel that it is im portant to create an awareness that the way we are interacting with the devices might be changing the way we think and these changes might be occurring at the level of brain structure. The EQ connectionNothing turns people off quite like fiddling with your phone or tablet during a conversation. Multitasking in meetings and other social settings indicates low Self- and Social Awareness, two emotional intelligence (EQ) skills that are critical to success at work.TalentSmart has tested more than a million people and found that 90% of top performers have high EQs. If multitasking does indeed damage the anterior cingulate cortex (a key brain region for EQ) as current research suggests, doing so will lower your EQ while it alienates your coworkers.Bringing it all togetherIf youre prone to multitasking, this is not a habit youll want to indulge- it clearly slows you down and decreases the quality of your work. Even if it doesnt cause brain damage, allowing yourself to multitask will fuel an y existing difficulties you have with concentration, organization, and attention to detail.Travis Bradberry is the coauthor of Emotional Intelligence 2.0 and the cofounder of TalentSmart. This article originally appeared onLinkedIn.

This is the exact time you should exercise if you want to lose weight
This is the exact time you should exercise if you want to lose weightThis is the exact time you should exercise if you want to lose weightYou can set yur watch to new research on the dos and donts of effective exercise. The latest comes in the form of two papers published in the Journal Metabolism, on April 18th. Experiments conducted by two separate teams of researchers motion that the time of day plays a vital role in the weight-loss results of habitual physical activity. An interest in the way our circadian clock affects our metabolism and physiology urged the experts towards the first experiment involving mice, with further research on human trials producing similar results. The researchers found that working out in the evening when specific proteins and metabolites are produced in the body consistentlyyielded a more productive session in both species. In mice, there was a 50% increase in performance at night time as opposed to the day.Follow Ladders on FlipboardFollow Ladders mag azines on Flipboard covering Happiness, Productivity, Job Satisfaction, Neuroscience, and morePaolo Sassone-Corsi, one of the researchers from The University of California, explains, Circadian rhythms dominate everything we do. Previous studies from our lab have suggested that at least 50% of our metabolism is circadian, and 50% of the metabolites in our body oscillate based on the circadian cycle. It makes sense that exercise would be one of the things thats impacted.Maximize your exertionIts quite well known that almost every aspect of our physiology and metabolism is dictated by the circadian clock, explains the first studys lead author, Gad Asher.Asher and a teamof researchers from the Weizmann Institute of Science and the University of California, Irvine, demonstrated this with a crop of mice in two different reports. The first put the mice on treadmills in various stages of their active phase, assigning them varying degrees of physical intensity. During the mouse evening the r odents observed in the study exhibited higher levels of ZMP, which is a compound some competing athletes use for doping. ZMP is critical to efficient weight-loss because of the way it promotes healthy metabolic regulation. In the second experiment, researchers had the mice perform similar tasks during the same time of day, only this time they observed changes in muscle tissue. These results showed that the production of a protein called HIF-1a changed depending on the time of day as well. Human trials yielded parallel findings because humans tend to express lower oxygen consumption in the evenings. The report published in the Journal Metabolism, concludes by confessing the research to be too new to determine a specific time that serves efficient exercisethe best, but as far as the production of key hormones and proteins are concerned, nighttime seems to be the way to goAnother recent study published independently by researchers from Englands University of Birmingham posits that humans were able to exercise for 20% longer when they began their workout 11 hours after they woke up. How Facebook could cost you your job
How facebook inc could cost you your job How Facebook could cost you your jobPosted October 13, 2011, by Josie Chun If you are one of the over nine million Australians or 500 million people worldwide who use Facebook, you probably use the social networking site to keep up with your friends, write on each others walls and view each others photos. Caught up in this breezy social interaction, its easy to forget all the invisible readers who may be reading your profile information and looking at the photos you just posted of your last drunken night on the town. That may include the friends youve added who you actually barely know, the friends of your friends, your colleagues and shudder your anfhrer. Depending on your privacy settings, total strangers may be able to view your profile including prospective employers. Cautionary tales are increasingly emerging of how Facebook has proved the undoing of the hapless. Many people will already have heard about Australian Kyle Doyle, a call c entre worker who chucked a sickie after a drunken night out, only to be busted by his boss after posting this on his Facebook page not going to work, f*** it im still trashed SICKIE WOO. Oops. Then there was Kevin Colvin, an intern at Anglo Irish Bank in the US, who told his employers he had to miss work to go to New York for a family emergency. When his Facebook page later showed a photo of a fairy costume-clad Colvin at a Halloween party instead of his family emergency, his manager copied the photo and emailed it around the office with the reply Thanks for letting me know hope everything is OK in New York. (cool wand). Theyre reading your profile It is becoming increasingly common for employers to do background checks on potential employees by looking at their Facebook (or MySpace or Bebo) profiles. Twenty per cent of employers use social networking sites to run searches on job applicants and 68 per cent use search engines like Google and Yahoo to check on candidates, according to online recruitment website www.onrec.com. So you might want to think twice before you start venting about how much you hate work or bragging about how many tequila shots you can down in the space of ten minutes. It could cost you your job. Even binnenseemingly innocuous posts can get you into trouble with your employer like that experienced by one man working for a large corporate bank, who was supposedly fired for using the word recession in a Facebook post. Facebook no-nos The top turn-offs for employers on social networking websites include References to drug or alcohol abuse Racist, sexist or otherwise intolerant views Evidence of illegal activity Inappropriate photos, especially nudity Offensive language Rude sexual jokes Links to unsuitable websites Silly email addresses Membership of pointless/silly groups Other things to watch out for, particularly if youre currently job hunting, are poor grammar and spelling, and badmouthing current or former employers and colleague s both will reflect badly on you. What you can do There are a few things you need to do to make sure you dont jeopardise your current or future job. The rule of thumb is to ask yourself is this something you would feel comfortable having your parents or employer see? If the answer is no, play it safe and remove it. Alternatively, you could consider setting up a separate clean Facebook account with a variation of your name to use for work colleagues and your parents. Check your privacy settings This might seem obvious, but hey even the wife of MI6 chief Sir John Sawers put private family information and photos on her Facebook profile without any privacy protection, unwittingly allowing 200 million Facebook users in the London network to access her profile. Even if maintaining your privacy is not a matter of national security, it can still be a good idea to limit who can view your profile to your network, friends and friends of friends, or friends only. In your privacy setting s, you can customise the visibility of every aspect of your profile (personal info, status, wall posts, photos, etc) and it can be worth taking the time to do so. Clean up your profile Be aware of what impression youre giving through the language you use, the photos you post, what you list as your interests and what groups you belong to. If any of ansicht are potentially damning, clean them up. A last word about photos Even if youve removed the incriminating photos of yourself passed out on the footpath after a bender, or pulling a moon for the camera, dont forget that you also have to be aware of photos posted by your friends in which youve been tagged. If its not something you want to be associated with, be sure to untag yourself Do you have a story about how Facebook has gotten you or someone you know into trouble with your employer?
